Telephone Audio, Getting the Most from IVR and On Hold Marketing

IVR is short for Interactive Voice Response, an automated system that uses a touch response telephone to direct your call. You will have one of these if you have multiple departments with lots of incoming calls.

60% of callers put on a silent on-hold hang up within 40 seconds and callers put on-hold with information and music will stay about 3 minutes longer.

55% of communication is lost over the phone (body language), leaving us with 38% through tone of voice and just 7% through words.

As you can see from the statistics, giving the wrong message in the wrong tone could actually damage your sales and your reputation.

Many companies spend time and money on their visual branding (logo and leaflets) but neglect their telephone audio. "Your sonic branding is as important as your visual branding!"

This article looks at some of the common mistakes made with IVR and on-hold marketing. It also outlines some good techniques to use.

You Rang!

It is best to have just a few options on your telephone system. People lose interest quickly so listing every department is not always a good idea. Think about it from the customers' point of view, what will they be calling your company for? To buy products? Information? To make a complaint?

It is recommended that you keep it to 3 or 4 salient options max if you can. If you think that you need 7 or 8 options, be ruthless; cut it down to the 3 or 4 relevant points. You can always have the 4th option to cover all other enquires.

Remember, the purpose of telephone options is to get the potential client through to the most relevant operator as quickly as possible. Failing that, you need to get them to remain on hold until you are able to deal with their call.

"Thank you for calling ABC, for sales please press 1 - for product information press 2 - for all other enquiries press 3."

Make it simple and friendly and always use a professional voice-over. People relate to it better and psychologically, it is more accepted and expected by the caller. Your company will sound established and efficient and will instantly inspire confidence. You can always tell when a member of the office records the IVR options, you know, the one with the best telephone voice!

Think about the type of voice-over you want to use... What image do you want your company to portray in the mind of the listener? What is your target market?

Using a voice-over style that will connect with your caller is important. You don't want a mature corporate voice if your company is aimed at 18-25 year olds, and likewise, you don't want a young radio type voice if your are a firm of lawyers.

On-hold Now

Being on hold can be annoying, however, you can entertain and use this time to educate your caller. A silent on-hold is extremely cold and callers hang up much sooner than when they have something to occupy them.

Music

Music can alleviate boredom, however, make sure your music is properly licensed for use on a telephone system otherwise you could face a copyright infringement charge.

Also, do select the music carefully. Not everybody has your taste in music...for example, a banging hip-hop track may alienate some of your callers. It is usually best to go for music that is easy on the ear or relaxing. Original music is a good choice for telephone use as the caller has no preconceptions about the piece - they just accept it as music.

As with the voice, it is also advisable to pick music that is relevant to the company image you want to portray. It is acceptable for a nightclub to use a pumping dance track, but clearly this would be wrong for an accountant's office.

It is good practice to thank the caller for holding, but do not do it every 5 seconds! Many on hold systems work on a continuous loop. I suggest having your thank you' message at the beginning and in the middle of the loop. Intervals of 20-30 seconds don't disrupt the music too much but remind your caller that you care.

Entertain, educate and sell!

Don't waste the opportunity you have when a caller is on hold. You have a captive audience. You have a great opportunity to keep them occupied and educate them about your services.

It is best not to blatantly advertise, or to cram as many ads in as possible. A more subtle approach is far less intrusive and more appreciated by the caller. On-hold marketing should use voice and music combined. They are both important elements so let any adverts breath; make sure there is music on either side of them to break things up.

When it comes to writing a telephone advert, make it short and to the point. I am not and advertising expert, however, making it engaging and entertaining can really count.

Simple stuff can work best i.e.

"Thank you for holding, did you know ABC limited sells more widgets in the UK than any other company, and can price match any quote."

"This Autumn we have great savings on widgets, ask your operator for details".

You get the idea, short sentences, no hard sell and let people hear the music before and after the voice, this is when they will take in and process the information.

I have written this article based on my experience of putting telephone audio packages together for clients and have much experience in this area. I have a limited knowledge about hardware but I advise that you always test any newly installed audio.

Phone your company as a client to check that it all works. Is the volume right? Is it clear? Are there anomalies in the system that causes delays or the first split second to be cut off? There is nothing worst than hearing your perfectly produced audio file being butchered by incorrectly configured hardware. Your callers will notice it but say nothing about it. Not to you anyway!

How Good Are Toy Pianos?

I'm sure you've seen the ads: Schoenhut, Dexter, Fisher-Price. These are all brands of toy pianos that are marketed to parents of toddlers.

Many parents are attracted to them because of their look and their size, saying to themselves, "Oh, that would be perfect for my child. It's so cute!"

But have you ever tried a toy piano? While they may be cute and fulfill a need for a certain kind of toy and nursery furniture, they may leave much to be desired in terms sound and providing an instrument for musical development.

Let's see if the advantages of toy pianos outweigh the liabilities.

I've taught children who had toy pianos at first, and there is never any damage done, far from it, if a child plays a toy piano. I think they enjoy it simply because it makes pretty sounds. Anything that interests them in music and piano is good for their intellectual development.

But that is not our point today, but rather to see if there may be an alternative for toddlers that works better in providing a musical instrument adequate for musical development.

First let us enumerate the advantages of toy pianos:

1. They are attractive and this alone may interest the child in music.

2. They are inexpensive and portable

3. They have a standard keyboard setup with groups of two and three black keys.

4. They are mechanical devices, so you don't have to worry about electrical connections, outlets and safety issues.

5. The younger your child, the more appropriate a toy piano may be.

The only real alternative besides a real piano is the electronic music keyboard, such as the inexpensive Casio brands you see for around $99. You see them at Circuit City and electronic appliance outlets as such as that.

Here is a comparison of an electronic keyboard versus a toy piano:

1. Children's electronic music keyboards have real width keys, inch wide, while toy pianos often have "mini" keys to accommodate their tiny hands. It may be better to have the child get used to what real piano keys are like. On the other hand, anything that attracts your child to touch a musical keyboard is a good thing, correct width keys or not.

2. Electronic keyboards make a wide variety of sounds besides the standard piano sound of a toy piano. This may attract your toddler, or may confuse them. More sounds are available on a small keyboard but not usually on a toy piano, although undoubtedly there are products out there called "toy pianos" which make sounds in addition to something piano-like.

3. Toy pianos produce a sound made on what are usually small bell-like surfaces called "tines." It sounds more like chimes than a piano. An electronic keyboard's piano sound is usually very faithful to a real piano sound.

4. Electronic keyboards must be used with batteries to get around the safety issues of outlets, power cables and connections. Toy pianos usually are mechanical devices that require no power, and therefore have the advantage of safety and convenience.

Whatever choice you make, a toy piano can be a great introduction to music, which will eventually produce many benefits such as increased math scores and better handwriting.

Better to get a toy piano at first and then upgrade than not get started at all. Music skills develop at a very young age.

Ethel Merman - The Spark Behind Gypsy Broadway's Legend?

Many critics and writers opine that Gypsy Broadway's greatest musical masterpiece would not have been what it was without the exceptional acting talents of Ethel Merman. They bring out the fact that as a mother the aggressive and tyrannical yet likably understood character of Rose strongly portrayed by her was absolutely perfect. The success of Gypsy was mainly because of her and also because of its hilarious choreography. Ethel Merman was central to Gypsy in more ways than one. She was gifted with a booming voice and her brash personality was eminently suited for the stage-obsessed character of Rose.

It was then incredible that Ethel Merman lost out to Sound Of Music's Mary Martin when the turn to receive the Tony Awards came. Many critics consider this error by the judges of the Tony awards as the most idiotic one. The above original production of Gypsy debuted on Broadway on May 21, 1959 at the Broadway Theatre. It then moved on to the Imperial Theatre and ran a total of 702 performances in all, excluding the 2 previews. A high point of Gypsy was its direction and choreography both by Jerome Robbins. Although not destined to be a dance show, Robbins added charm to the plot by weaving in the vaudeville and burlesque styles of choreography into it. These were considered the most lingering aspects that gripped the minds of its audiences as they came out of the theatre.

Produced by David Merrick and with lyrics by Stephen Sondheim, Gypsy the musical received a total of 8 Tony Award nominations, yet surprisingly failed to win any. The show closed in March 1961. Gypsy was loosely based on the 1957 memoirs of Gypsy Rose Lee and focus on her mother Rose. The book was written by Arthur Laurents. Rose is the ultimate mother in show business. The plot revolves around the dream of Rose, and her efforts, to bring up her two daughters so they could become stage artistes. It portrays the trials and tribulations that a career in show business involves.

Gypsy contained a total of 17 songs in two Acts. Of them, Small World, You'll Never Get Away From Me, Let Me Entertain You, and Everything's Coming Up Roses became popular standards. Further revivals of Gypsy on Broadway occurred in 1974 (120 performances), 1989 (476 performances), 2003 (451 performances). Besides these, a current revival of Gypsy Broadway's multiple reincarnated musical show is on the cards. The latest reincarnation began at the St. James Theatre on March 27, 2008 with Patti Lupone in the lead role as Rose. Although, Gypsy Broadway's moneyspinner through its many reincarnations past, present, and future will stay in the minds of people for ever, its spark was really Ethel Merman.

Review of 2008 Tony Awards - Best Musical - In the Heights

With no big name shows to take all the glory, the Tony awards have arrived this year with all the usual excitement and fanfare. The winner of the Best Musical was "In the Heights", a story, or a collection of stories, about chasing the American Dream and lottery winnings in Upper Manhattan Latino families. With its salsa-inspired rap numbers, and dynamic dancers and music, the show has been a hit amongst theater goers and critics alike.

Written and conceived by 28 year old Lin-Manuel Miranda while he was still a student, the show features Miranda taking center stage, bounding around dynamically and punching out the rap-dialogue in a style many musical goers may be unaccustomed. And when taking the stage to accept his award he continued the style telling the audience "I used to dream about this moment, now I'm in it," "Tell the conductor to hold the baton a minute." And with a nod to Broadway legend Stephen Sondheim, Miranda raps: "Look, Mr. Sondheim, I made a hat where there never was a hat and it's a Latin hat at that."

Miranda's show is a window into modern Latino culture, perhaps with some gloss on it, but a window nonetheless. His first Broadway show, Miranda wrote the score and all of the songs, as well as playing the lead role. He simply lights up the stage with a dazzling display and draws the viewer in. The show played off-Broadway for a season. The orchestration of the show is bright and vibrant and very modern. "In the Heights" also won awards for the score, orchestrations and choreography.

No standout show took all the awards this year, the prizes were shared around. Winners in the recent past such as Jersey Boys and Wicked are still playing to packed houses around Broadway. The revival musical "South Pacific" picked up seven wins including best revival and best actor - for the lead, Paulo Szot - in addition to four design awards and an award for best director, Bartlett Sher.

'Antidotes' by Foals - Album Review

For all the ubiquity of post-punk inspired bands flooding the mainstream over recent years, the amount of truly innovative music they have collectively produced has been disappointing by comparison. It's not difficult to see why; the original class of 78-82 set the bar high and bequeathed one of the most astonishingly imaginative musical legacies ever - a lavish cross-pollination that embraced punk, disco, dub reggae, funk, glam and krautrock to often dizzying extremes. And while some of these acts (Talking Heads, Wire) have become touchstones for a generation of indie kids, other key players (Associates, Magazine) have proved simply too rich to rob - talents so 'out there' as to defy influence.

It's a willingness to experiment, both musically and technologically, that's been missing of late. All the aforementioned artists broke new ground in the studio and, in their own ways, redefined what the pop single could be - mental but magnificent, yet still within detection of the Smash Hits radar. Certainly, the likes of Franz Ferdinand and Maximo Park have produced top-notch material in recent years but, worryingly, little new ground has been broken and the 30-year-old model remains the blueprint.

Thank flip, then, for Foals and their wonderful new album, Antidotes. Ostensibly, given their youth, NME-darling status and oft-mentioned Skins appearance, it would be easy to dismiss this Oxford bunch as yet more spiky-guitar-driven, jerky vocal, Gang of Four wannabes. Not so. Foals have ambition by the truckload and, while their influences are clearly apparent, they've applied them in new and unpredictable ways. And finally, thrillingly, over a decade after Oasis single-handedly kicked the cack out of musical progression, here's a guitar band that's clearly in love with the studio, electronics and the notion of stretching possibility.

The singles Cassius and Balloons are perfectly formed pop confections that, like with all the best albums, only scratch the surface of the whole. African-influenced guitars abound but it's the concise drive and restrained neurosis that strikes, as well as the arresting use of saxophone (think Mirror In The Bathroom rather than Baker Street). The album's true heart lies deeper, however, and the tension is released throughout Antidotes at several key moments, so when everyone stops to admire the beautiful view they've created, - the heart-rending chorus of Red Sock Pugie; the gentle ascent of Big, Big Love (vaguely reminiscent of Unforgettable Fire-era U2) - it's exhilarating.

At last, the noughties have their own Fear of Music, Chairs Missing or Fourth Drawer Down - a record driven by an impulse to create something new, where musical dexterity is of secondary importance to the idea, but still retaining one foot on the dance floor. Yes, that good.
